Systems for shops, supermarkets & retail chains

A POS system in Saudi Arabia that keeps every till, branch and invoice in step.

You run a supermarket, a group of stores or a growing retail chain, and the tills, the warehouse and the accounts no longer agree. Amwaj Solutions builds custom retail POS systems, or integrates and extends the one you already use, so ZATCA invoicing, branch stock, mada payments and your ERP all work from a single, reliable record.

The Saudi rules your tills must meet

  • Every receipt a till prints is a simplified tax invoice, and ZATCA states that a QR code is mandatory on simplified tax invoices. E-invoicing began on 4 December 2021, and the integration phase started on 1 January 2023. Source: ZATCA

  • ZATCA guidance prohibits invoicing solutions that allow tampering with or deleting issued invoices, multiple invoice sequences, changing the system date and time, or exporting the cryptographic stamp's private key. Returns therefore need a proper credit-note workflow. Source: ZATCA

  • ZATCA's 25th integration group, announced on 24 July 2026, covers taxpayers whose VAT-able revenue exceeded SAR 187,500 in any year from 2022 to 2025. Their invoicing systems must be connected to the Fatoora platform by 1 February 2027. Source: ZATCA

  • The Ministry of Commerce has obliged all retail outlets to provide electronic payment since 25 August 2020, after a phased rollout from fuel stations and groceries to clothing, electronics and other shops. Card terminals belong inside the POS flow, not beside it. Source: Ministry of Commerce

Quick answer

What is a retail POS system?

A retail POS system is the software and hardware that records each sale at the till, takes payment and prints the receipt, while updating stock and sales for every branch. In Saudi Arabia it is also an e-invoicing system: each receipt is a simplified tax invoice that must meet ZATCA rules. Our POS and ZATCA guide explains the requirements.

Why it is its own job

Why retail POS is its own job

Retail tills deal with volume, thousands of SKUs and stock that moves between branches, which a generic sales app rarely handles well.

  1. 01

    Thousands of SKUs and barcodes

A supermarket can carry tens of thousands of items, each with barcodes, pack sizes, supplier prices and promotions. Price changes have to reach every till and shelf label at the same moment, or cashiers end up overriding prices by hand and margin leaks away quietly.

  2. 02

    Stock that moves between branches

Chains transfer goods between branches and a central warehouse every day. If transfers, receipts and returns are not posted in real time, one branch shows phantom stock while another runs out, and purchasing decisions are made on numbers nobody trusts.

  3. 03

    Fresh counters and weighed items

Butchery, bakery and produce counters sell by weight. Scales need to print barcodes the till reads without errors, and fresh items need expiry and waste tracking so shrinkage shows up in reports instead of disappearing into the cost of sales.

  4. 04

    Queues at peak hours

Weekend evenings and the days before Ramadan and Eid push checkout lanes to their limit. Payment must stay fast with integrated card terminals, and each till has to keep issuing valid invoices if the internet or the link to head office drops.

  5. 05

    Accounts that must reconcile

Daily takings, card settlements, VAT and stock valuation all end up in accounting. When the POS and the ledger are separate islands, finance teams spend days reconciling in spreadsheets; with an integrated ERP and custom software layer the entries post themselves.

What we build

What we build and integrate

We build a retail POS around your operation or connect the systems you already own. Amwaj does not sell an off-the-shelf POS subscription; we engineer and integrate.

ZATCA-integrated checkout

Simplified invoices with QR codes and cryptographic stamps, credit notes for returns and reporting to Fatoora, designed so you can choose whether each till or a central server stamps invoices. The rules are summarised in our e-invoicing guide.

Multi-branch inventory

A central item master, branch price lists, purchase orders, goods receipt, inter-branch transfers and stock counts with variance approval. Head office sees stock by location in near real time, and reorder points can raise purchase suggestions automatically.

Barcode, scales and peripherals

Integration with barcode scanners, weighing scales that print price-embedded labels, receipt printers, customer displays and cash drawers, tested against the hardware you already have so you are not forced to replace equipment that works.

Integrated mada and card payments

Payment terminals connected to the till so the amount is sent automatically, approvals return into the sale, and daily card settlements reconcile against POS takings instead of being matched by hand at month end.

Loyalty and promotions

Points, member pricing, bundle offers and time-limited promotions defined once and applied across every branch and your online store, with customer data handled in line with the Personal Data Protection Law (PDPL).

Offline mode and ERP sync

Tills keep selling and stamping invoices when the network drops, then report automatically on reconnection. Sales, VAT, stock movements and settlements post to your accounting system or ERP, whether that is Odoo, SAP or a custom platform.

Your options

Off-the-shelf cashier app or a custom retail system?

Many people searching for a cashier app run a single shop and need something free or low-cost, and for them a ready-made subscription is usually the right call. The balance shifts as branches, SKUs and integrations grow.

The plan

How a retail POS project runs

Timelines depend on the number of branches, the condition of your item data and how many systems the POS must talk to, so we scope before we estimate.

  1. Step 1

    Map tills, stock and money

We review a representative branch and the warehouse, map checkout, returns, transfers and day-end closing, and audit your item master and barcodes. You receive a scope, an integration map and a ZATCA plan that takes your integration group's date into account.

  2. Step 2

    Build, integrate and pilot

We build or extend the POS, connect payment terminals, scales and your ERP, onboard devices on Fatoora and pilot in one branch. Real cashiers test peak-hour flows, offline behaviour and refunds before anything is rolled out further.

  3. Step 3

    Roll out branch by branch

Branches go live in planned groups with opening stock counts, staff training and a support window. After rollout we monitor invoice reporting, sync errors and performance, then plan the next improvements, such as loyalty or online stock visibility.

Proof

Frequently Asked Questions

Is a free cashier app enough for my shop?

For a single small shop with a simple catalogue, often yes. Many ready-made cashier apps handle sales, receipts and basic stock at little or no cost. Before choosing one, confirm it supports ZATCA Phase 2 integration, Arabic invoices and your card terminal. A custom or integrated system starts to pay off when you add branches, a warehouse, weighed goods or an ERP that must stay in sync.

How much does a retail POS system cost in Saudi Arabia?

Cost depends on the number of branches and tills, the hardware you keep or replace, the systems to integrate (ERP, online store, scales, loyalty), data migration from your current system and the support level you need. Subscription apps charge monthly per device; custom systems are a project investment plus hosting and support. We scope these drivers first, then provide a written estimate.

Does my POS need to be integrated with ZATCA?

If you are VAT-registered and ZATCA has assigned you to an integration group, your POS must connect to the Fatoora platform from the date in your notification, which ZATCA sends at least six months ahead. Wave 25 covers VAT-able revenue above SAR 187,500 in any year from 2022 to 2025. Our e-invoicing guide lists each wave.

Can the POS keep working without internet?

It should. A well-designed retail POS stores sales locally, keeps stamping simplified invoices with their QR codes and queues them for reporting when the connection returns. ZATCA requires simplified invoices to be reported within 24 hours, so the system must alert managers if a till stays offline too long. We test this behaviour in the pilot branch.

Can you connect our existing POS to our ERP instead of replacing it?

Often, yes. If your current POS has an API or a reliable export, we build an integration layer that posts sales, VAT, card settlements and stock movements into your ERP or accounting system and pushes items and prices back to the tills. If the POS is closed or not ready for Phase 2, replacing it may cost less over time.

How long does it take to roll out a new POS across branches?

It depends on branch count, the quality of your item and barcode data, the hardware involved and the number of integrations. Most of the risk sits in data clean-up and the pilot branch, not in the rollout itself. We pilot, fix what real cashiers find, then go live in branch groups. Contact us for a scoped plan.
